The Role

Position: Full Time Accredited Exercise Physiologist – MSK/Rehab experience is desirable but not essential.
Where: On site in our Cammeray facility.
Schedule: Exact working hours to be confirmed upon successful application.
Base Salary: 70k – 90k per annum depending on clinical experience.

The Exercise Collaborative (ExCo) is looking for its next passionate full time Musculoskeletal Exercise Physiologist to join its growing team in a new purpose built, state-of-the-art studio in Cammeray. The role provides an exciting opportunity to work in a private clinical exercise facility with a wide variety of clients across the health and performance continuum.

Responsibilities and Key Competencies

  • Demonstrate ability to develop and apply musculoskeletal-based rehabilitation principles as well as assess movement competencies and load. These skills will be applied to a wide range of clientele, including those recovering from injuries/surgery, those looking to prevent injury and those looking to optimise performance.
  • Possess a strong interest in strength training and movement science for optimising performance. Personal experience in sport, injury, recovery and resistance training is desirable but not essential.
  • The opportunity to contribute to the design and implementation of our renowned evidence-based programs, including those for osteoporosis, cancer, osteoarthritis, chronic pain and metabolic conditions, in both 1-1 and group class formats.The role will require you to communicate, liaise and market our services to various health professionals, medical practitioners and staff members.
  • Be part of a collaborative team, responsible for growth and client lead generation to improve the overall performance of the business.
  • Work towards team leadership opportunities within the business and communicate relevant data and metrics to senior stakeholders.
  • Possess a good understanding of various government (eg. Medicare, DVA, SIRA, NDIS etc) and private health fund schemes.

Role Essentials:

Qualifications and Experience

  • As a minimum, bachelor’s degree in Exercise Physiology.
  • Accreditation in Exercise Physiology with Exercise and Sports Science Australia (ESSA).
  • Professional indemnity insurance.
  • Current First Aid and CPR certification.
  • Working with Children check.

The Role:

As ExCo’s Practice Manager, your primary role includes managing all ‘front desk’ operations in order to produce an optimal client experience with our facility. In addition, the role encompasses assisting the directors to develop and implement highly efficient systems that deliver fluency and effective outcomes for client experiences, business performance, team satisfaction and community awareness. Specifically, the duties of the role include:

Front Desk Operations

  • Providing outstanding customer service to all clients, whether in person or via phone calls/emailing.
  • Pleasantly greeting all clients on arrival and ensuring all necessary paperwork/forms are completed.
  • Processing client transactions, invoicing and claiming via third parties as appropriate including Medicare, DVA, SIRA and private health funds.
  • Making, amending or cancelling future bookings as necessary based on client/practitioner requests.
  • Working with practitioners to assist in the management of client relationships and engagement, including follow up phone calls and emailing as warranted.
  • Answering phone calls and responding to enquiries promptly, whether via phone call, email or other means (eg. website/social media).
  • Sending correspondence via electronic fax/email to key stakeholders in clients’ healthcare needs (eg. GPs, specialists, insurers and other interested allied health practitioners).
  • Directing incoming faxes/emails to the appropriate practitioner and ensure appropriate follow up is actioned.
  • Scanning of client documents to client files, and maintaining appropriate security and actions in keeping with ExCo’s privacy policies.
  • Maintaining administrative task checklists and updating them meticulously, particularly in light of ExCo’s projected future growth.
  • Managing any client issues with regards to their treatment pathway with sensitivity and empathy, and communicating any such issues to the necessary team members and/or the directors clearly and appropriately.

Practice Performance

  • Daily review of Cliniko diaries, including reconciliation of payments, and communication to team members about any outstanding actions that need attention with regards to client sessions.
  • Reviewing waitlists and action accordingly.
  • Optimising team diaries in keeping with suitable session hours, administrative tasks, networking capacity and team meetings.
  • Maintaining exercise class schedule and timetables, including planning for forward capacity and possible implementation of future bookings/classes.
  • Managing diary and class changes in the event of team member absence due to illness/sickness or accident.
  • Ensuring necessary annual practitioner qualifications, accreditations, provider numbers and insurance details are maintained and up to date.
  • Ensuring the facility looks clean and tidy at all times, and maintaining stock inventory for client and staff amenities as required.
  • Implementation and creation of new systems required to support the practice, and strive for it to operate to its potential.
  • Maintaining business metrics and extract data as required to help optimise marketing effectiveness and business decision-making.
  • Working with the directors and team members to establish roles within the business beyond client relationships, with the view to maintain pride and accountability across all aspects.
  • Daily banking reconciliation in Xero.
  • Optimising payment systems and processes.
  • Following up any unpaid accounts and rectifying issues that arise liaising with third parties and their systems.

Role Essentials:

  • Experience in working in an allied health practice, medical practice or similar administrative leadership role.
  • Good understanding of various government (eg. Medicare, DVA, SIRA, NDIS etc) and private health fund schemes.
  • A keen interest in the health and wellbeing of the local Sydney North
  • Shore community. We prefer to employ staff that live locally.
  • Police Check.
  • Working with Children’s Check.

What you should know:

ExCo is committed to having an optimal work-life balance. With this in mind, the role of Practice Manager will include an attractive remuneration commensurate with your qualifications, skills and experience.

Hours: Permanent part time. We expect the role to require an initial 20-25 hours per week onsite.
Rate: $38.46 – $41.03 per hour (inc super)
